Entertainment Ideas for Parties and Wedding Receptions

Parties and wedding receptions are comprised of numerous factors that work together in order to create a day or evening that is nothing short of magical.  For most individuals, a festive event or their wedding reception is like a celebration that they throw for all of the most important people in their lives.  Naturally, the food and drink that you’ll have for the occasion are two critical aspects involved in the planning of this event.  However, the most important factor is always the entertainment venue.

If you don’t want those important people in your life just sitting there bored to tears, or possibly leaving early, then you had better plan some outstanding entertainment.  One of these considerations for your entertainment venue is music, for the party or wedding reception as well as for your wedding.  While there are traditional entertainment venues available everywhere, you can be very creative.  The type of music that you choose needs to be a reflection of the lifestyles and personalities of both the bride and the groom.

Considerations prior to choosing the entertainment

You’ll quickly discover that searching online for any music venues for your party or wedding reception gets quite challenging.  There is such a wide array available that the search can oftentimes get confusing and will ultimately frustrate you.  Here are some suggestions to take into consideration before actually selecting the type of music venue that you want to hire for your wedding reception:
  • Before you ever start searching, the first and most critical element to consider is your budget.  Parties and wedding receptions today can be pretty pricey, but a wedding reception can break the bank if you aren’t careful.  The amount of money that you allocate for your party or wedding reception needs to be categorised anyway by the key components of the reception.  Besides the entertainment share, key components of the reception include:
  1. Reception location and rental of it
  2. Tables and table settings
  3. Food and drink

Just remember that the size of the budget allocated to the costs of the entire party or reception will dictate what you can afford in the way of entertainment.
  • Take into consideration the size of the party or reception hall that you are renting.  If you hire a live band, you will need more space to accommodate them since you don’t want them crammed into a tight space.  Conversely, if you a hire a DJ, not as much space will be required for them and their set-up.
  • Now you can decide on the type of music for your party or reception.  Although the options are numerous, the typical reception features either a DJ or a live band.  When the bride and groom’s budget is too tight for either of these venues, renting an empty jukebox becomes a viable option since you can load it with a wide array of CD’s.  Remember that the key to hiring or utilizing music for your party or wedding reception is that you want your guests out on the dance floor enjoying themselves.

Suggestions regarding choosing what type of music for your reception

Suffice it to say, “Celebration” is the key theme at a party or a wedding reception.  Along with the food and drink being served, the music venue is the most significant factor where any celebrating is concerned.  With all the styles and varieties to choose from out there, selecting the ideal one can become a daunting task for the bride and the groom or the party hosts.  The following suggestions will be helpful when it comes to tackling this task:
  • Start planning as early as possible.  Before you choose the type of music venue that you are going to hire, consider preparing a song list to help you determine if you want to hire a DJ or live band.  Remember also that if there are budget restraints that you can rent an empty jukebox and fill it with your own CD collection.  Most couples have no clue where to begin searching for an entertainment venue, hence the dilemma that oftentimes results when they are confronted with all the possibilities.
  • The bride and groom or the party hosts should compare notes.  A good suggestion is for you and your fiancé/fiancée or fellow party host to exchange music lists.  Being creatures of habit, we tend to socialize with people who have similar interests to our own.  If you and your partner have varying tastes in the music you like, you’re going to need to select an entertainment venue that can handle that diversity.  Most importantly, you want to choose music that is a reflection of your lifestyle and personality.
  • Choose the wedding reception song first.  The wedding reception song should rekindle the memory of when the two of you first met, or when you proclaimed that you loved one another.  A song may have been playing in the background during that moment in your lives, or the two of you may have decided that a certain song would always be your song.
  • Make the party or reception unique.  Everybody and his brother use either the Electric Slide or the Macarena in their music and dance venues today.  Avoid doing this so you won’t be like everyone else.  Breaking with tradition will result in a more unique party or wedding reception as well as better entertainment.  This is the importance of choosing the music style that is the most unique to your lifestyle and personality.
  • The timing of events during your party or reception is critical as well.  You will want to schedule breaks during the entertainment to accommodate certain events that typically occur during a party or wedding reception.  These include the introduction of the bride and groom (a.k.a. the bridal party), the different toasts, and the tossing of the bouquet.  This will also help you decide on the songs to play in order to frame each of these events.

Weighing the Pros and Cons of the different entertainment venues

In most instances, and providing that your budget will allow it, the two most common entertainment choices at parties or wedding receptions are either DJ’s or live bands.  The critical part of the decision-making process involves weighing the pros and cons of both.  So let’s look at those first before continuing on.

DJ
The advantages of hiring a DJ – the better DJ’s have the ability to play any song that the guests at a party or reception request.  Additionally, the better DJ’s have literally thousands of songs compiled in their music library, so they can accommodate a wide range of musical tastes in all age groups.  Conversely, a live band may not have the time to learn specific songs that you want played at the reception.

DJ’s can also act as the emcee of the event and make all the necessary announcements throughout the occasion.  A good idea is to conduct an interview with each of the DJ’s that you are considering hiring.  Finally, the biggest advantage to hiring a DJ is that it is far less of an expense than hiring a live band.

The disadvantages of hiring a DJ – some DJ’s are good at selling you on hiring them.  Unfortunately, when it comes to actual performance, they turn out to be boring because they have gotten into a party or reception entertainment rut and always play the same tunes.  Again, conducting an interview with each of the DJ’s that you are considering becomes an important issue here as well.  If their personality doesn’t spark your interest during the interview process, chances are they won’t spark any excitement during the party or reception either.

Live Band
The advantages of hiring a live band – nothing creates the type of energy at a party or a wedding reception as a live band does.  It will make it an unforgettable event filled with countless memories that you will look back on for years to come.  A live band creates the mood of the reception, energizes the crowd, and most importantly, gets your guests out on the dance floor.  The leader of the band can also act as the emcee for your party or reception and make necessary announcements just like a DJ would.

The disadvantages of hiring a live band – although there are numerous advantages of hiring a live band, you also need to consider the downside of hiring one.  Typically, live bands only play one genre or sound.  Most are not very versatile where alternating between the different types of music genres is concerned.  Remember that the music is the lifeblood of your party or wedding reception, so if they aren’t very versatile, that event will quickly be dead in the water.

Additionally, live bands not only need to take breaks, they have to take breaks, especially if they belong to a musician’s union.  There are specific guidelines that you and they have to follow, and timed breaks are just one of those rules.  Conversely, DJ’s typically do not take as many during the course of your party or reception.  It’s unfortunate but sometimes live bands are not as professional or as talented as they advertise and claim.  Be careful to interview several before you decide on one to hire.

Regardless of which musical venue you choose, make sure you cover all the bases.  Always make sure that you get details of any contract involved in writing. In fact, it is always a wise decision to have a contract between you and the entertainment venue that you are hiring.  Critical details of this contract should include:
  • amount of time that the band is expected to play or the DJ is performing
  • fees for setting up the band or DJ
  • hidden fees such as administrative costs and gratuities
  • number of and/or types of songs to be played
  • scheduled breaks and eventual quitting time

You will also want the contact list covering the names and contact telephone numbers of each band member or the DJ.  There should also be a backup plan in case someone becomes ill and won’t be able to perform.

Additional entertainment considerations

Regardless of how important you might think that music is for an entertainment venue at a reception, it is not the only consideration.  The key is that you want to keep everyone at the event entertained throughout.  Acrobats, comedians, and magicians are additional types of entertainment to consider, especially for a wedding reception.  If you are hiring a DJ or a live band, you may want to discuss these issues with them as well since they have probably worked with other entertainment venues in past performances.

Keep in mind that part of the entertainment doesn’t have to be human-oriented.  For instance, some couples have employed fireworks displays as part of their party or reception entertainment venue, usually towards the end of the event.  Consider the fact that if your party or reception is being held outdoors during nice weather, you could give all your guests sparklers so that they will feel more like a key component of the entertainment venue.

Despite the fact that they wind up melting while they are sitting there, ice sculptures are another entertainment consideration as well.  In most cases, if they are done well, they become a mesmerizing conversation piece that delights most of the guests at the event.  Their beauty and intricate details lend to the ambiance and atmosphere of the event since they serve as viable decorations.

One recommendation, which is oftentimes overlooked, is that your entertainment venue should also be interactive in nature.  For instance, many guests can satisfy their sweet tooth if you utilize a chocolate fountain at your reception.  This also becomes a very entertaining conversation piece throughout the event.  Another consideration here, especially if you have hired a DJ, is to play several rounds of “Name that Tune.”  Make sure you have some inexpensive prizes that you can hand out to your guests when they win these competitions.

Between the bride and groom, the guest list for a wedding reception can be fairly expansive and not all the guests at the wedding and reception will know one another.  Believe it or not, considering the fact that most people always enjoy meeting new people, the seating plan that you create for the reception could lend itself to being part of the entertainment venue as well. Plan this as www.tableplanning.com. Just keep in mind that no matter what types of entertainment you plan for your wedding and reception that you don’t need to limit yourself to the traditional options in order for the event to be a successful one.
